Finding a Meeting Time Across Time Zones

The meeting planner finds the hours when everyone in 2 to 6 time zones is inside a 9 AM to 5 PM working day. It lists each workable start time in UTC and in every local zone. For New York and London in January, the answer is 2, 3 and 4 PM UTC, which is 9, 10 and 11 AM in New York.

A slot counts as a best meeting time only if a full one-hour meeting fits inside working hours for every person. A 4 PM start does not count, because it would run past 5 PM. Below the list, a table shows all 24 UTC hours with the local time in each zone. Rows are green when everyone is working and amber when only some are. The planner uses today's date to work out offsets, so daylight saving time is taken into account. Results can change when clocks go forward or back, so check again if the meeting is weeks away. Half-hour zones such as India (UTC+5:30) are shown to the minute.

Once zones are far apart, there may be no shared hours at all. New York, London and Tokyo, the default trio, have no 9 to 5 overlap. In that case, look at the amber rows and ask one side to start early or stay late. You can also rotate the time so the same people do not always lose out. For New York and London, the overlap is 9 AM to 12 noon in New York, which is 2 to 5 PM in London, most of the year. That gives three one-hour start times. For the US West Coast and London, there is no 9 to 5 overlap. An 8 AM Pacific call, which is 4 PM in London, is a common compromise.
